Conference-room cleaning around fixed AV equipment

Treat a conference room’s audiovisual setup as a fixed installation unless its equipment owner authorizes otherwise. Mark the surfaces available to clean, keep cables and devices under IT control, and plan a separate equipment check after any approved relocation. A neat table should not require guessing which connection can be unplugged.

That’s the standard a building should be held to. If you’d rather have it in writing, tell us about the space — we walk it and come back with a scope of work and a price, usually within one business day.

Walk the room with the equipment owner

Ask the person responsible for meeting technology to identify tabletop microphones, cameras, control panels, power modules and charging leads. Record the areas that remain untouched and the empty surfaces that can be addressed without moving them. A small device may be fixed to the table even if it appears portable; a cable may continue through a floor box or a furniture channel. The cleaning instructions should not require investigating those connections. If an approved reference image would help preserve furniture placement, use an image cleared by the organization, with screens blank and no meeting information visible. A written position map may be sufficient.

Create access before adding a deeper task

When a table cannot be cleaned fully because equipment covers it, arrange an IT-led clearing window. The equipment owner disconnects or secures the appropriate devices, identifies where they will be stored and confirms which surface is now available. Agree when the installation will be restored so that the next meeting does not begin in a partly reassembled room. Do the same for floor areas behind an equipment cabinet: access to the room does not authorize moving the cabinet. Keep routine table wiping and an occasional cleared-area visit on different scope lines. That distinction prevents an inaccessible strip from becoming an unexplained recurring complaint.

Assign the technology check to the right person

After equipment has been deliberately moved, the authorized owner should verify the room’s intended setup before releasing it for meetings. That check can follow the organization’s normal AV procedure; cleaners should not be asked to join calls, unlock displays or alter camera settings to prove the room works. CDC’s facility guidance directs electronics care to the manufacturer’s instructions. Keep that responsibility distinct from surrounding surface work. If someone notices a loose cable or an unfamiliar device during cleaning, report its location rather than attempting a repair. The completion note should say what surface was accessible, not promise that the meeting system was tested.

Frequently asked questions

Should microphones be moved to wipe underneath?

Only through an approved equipment-handling arrangement. Have the AV owner clear the area when needed; routine access to the room does not establish permission to relocate devices.

Can a cleaning team unplug a spare cable?

Appearance is not a reliable ownership label. Keep cable changes with IT and identify truly removable accessories before the cleaning visit.

What if the table has integrated power outlets?

Show their locations at the walkthrough and confirm the surface-care boundary. Do not assume a task to wipe the table includes opening power modules or treating their interiors.
