Mailroom cleaning: separate parcels from packaging

Divide an office mailroom into received parcels, items awaiting collection, packaging being retained and material approved for disposal. Have mailroom staff release the last category before cleaning begins. A box that looks empty may still be needed for a return, and a delivery beside a bin is not automatically waste.

That’s the standard a building should be held to. If you’d rather have it in writing, tell us about the space — we walk it and come back with a scope of work and a price, usually within one business day.

Give each stage of a parcel a physical place

Draw a simple layout that distinguishes incoming deliveries from outgoing returns and empty packaging awaiting a decision. Label shelves or bays by status rather than by whoever happened to put a box there. Include a hold area for damaged deliveries that the receiving team has not resolved. Cleaning staff should be able to see the approved floor route without reading shipping labels or opening cartons. If a shelf is so full that parcels spill into that route, the mailroom owner should move or distribute them before the visit. Repeated overflow calls for a receiving decision, not an expectation that a cleaner will reorganize everyone’s deliveries.

Release packaging before assigning disposal

Ask the receiving team to mark packaging as released only after confirming that the goods have been accepted and no return hold applies. Remove shipping information according to the organization’s own privacy process before material enters a common waste stream. Then follow the actual collection program. EPA advises checking what the local or office recycling program accepts; the presence of a recycling symbol is not a substitute for those instructions. Keep retained cartons out of the approved collection area, even if space is tight. When a bag or box contains mixed materials that have not been reviewed, send the decision back to the mailroom owner.

Coordinate floor access with the delivery rhythm

Choose a cleaning window after an office-owned parcel redistribution step, when practical, and tell reception which section will be unavailable during the work. Keep an agreed location for deliveries that arrive mid-visit so the newly cleared floor does not immediately become storage again. Record the zones actually accessible that day; “mailroom completed” says little if half the floor remained under unopened cartons. Review persistent obstructions with the receiving owner and revise shelf allocation or collection reminders. Do not turn the cleaning visit into package delivery, return processing or a storage service. Those are separate office activities that must happen before the space can be consistently maintained.

Published scope and the limits of this guide

The published JAS scope says: “Weekly or monthly maintenance” — Read the source service page

This is a mailroom coordination plan. It does not authorize opening deliveries, handling unknown leaks, secure document destruction or hauling packaging beyond the collection tasks agreed for the site.

Frequently asked questions

Can flattened boxes be treated as approved recycling?

Not by appearance alone. Use a designated release area and confirm the collection program’s instructions; some flattened packaging may still be deliberately retained.

Who removes personal delivery labels?

The organization should assign that through its privacy and receiving process. Do not make reading, photographing or obscuring shipping data an improvised cleaning task.

What if a parcel leaks?

Keep it out of the routine cleaning decision and contact the designated receiving or facilities person. An unknown leak needs identification before anyone chooses a response.
