Accounting firm cleaning that never touches a client file

Desks cleaned around the paper, shred consoles left locked, and night frequency that ramps up for busy season — with the COI and access discipline a managing partner actually asks about.

What we already know about your sector

The problems only you have.

A generic janitorial checklist misses exactly what makes your space hard. These are the things we bring to the walkthrough already understood, before you have to explain them.

Every desk carries client documents in plain sight — a crew that stacks, moves, or even straightens papers is a confidentiality incident under your Safeguards Rule plan, not a cleaning service.

Shred consoles fill up with client PII between pickups; they need wiping down, never opening — destruction belongs to your shredding vendor, not the night crew.

From January to April 15 — and again around the September and October extension deadlines — your staff works past ten; the 7pm cleaning that fit all summer now lands mid-workpaper.

Prospective clients judge a CPA firm's precision by the conference room where they sign the engagement letter — smudged glass reads like a sloppy return.

After-hours access is an accountability question: your building, your alarm codes, and your clients' files deserve a crew that is insured and accountable, with a COI on file.

What’s included

The scope we actually quote.

This is the starting point for the written scope of work. We tune it with you on the walkthrough — lines get added, removed, and given a frequency before you approve a price.

Reception and conference rooms: glass, tables, seating, floors — presentation-ready for client meetingsDesk rule set at the walkthrough: cleared surfaces cleaned, documents and workpapers never moved, read, or stackedShred console and bin exteriors wiped; consoles stay locked — document destruction stays with your shredding vendorFile-room and records-area floors and touchpoints — shelves, boxes, and folders untouchedHigh-touch disinfection: door handles, switches, copier and printer exteriors, shared-space railsRestrooms sanitized and restocked on every visitBreak room and kitchen: counters, sink, appliance exteriors, trash and recyclingSeasonal cadence: nightly through busy season, scaled back after the deadline — adjusted at the walkthrough, not renegotiated

How a commercial contract works →

Proof, not promises

You know what got done, without walking the floor.

Hiring cleaning for accounting firms is the easy part. The problem shows up in month six, when the vendor starts skipping things and nobody finds out until someone notices. Most contracts run on trust and a signature on a logsheet.

We answer it with evidence. On eligible completed visits we send a CleanCheck report: that visit’s task-list status, customer-safe photos, and the team’s notes. It lands in your inbox and stays in the history, so the next time someone asks, you have the answer.

The list, not a promise

The report shows the status of the tasks you approved in your scope of work — the same ones, visit after visit.

Customer-safe photos

Images of the work, not of people or paperwork: you can forward the report to a board or a tenant without editing anything.

A clear way to fix it

If something misses the standard, you point at that visit’s photo and we make it right — nobody has to rely on memory.

How commercial works

Walkthrough to report.

01

Free walkthrough

Message us on WhatsApp, call, or text. We walk the space with you — square footage, layout, restrooms, floors, access rules, and the hours that work for your team.

02

Written quote in one business day

You get a scope of work and a price in writing — the task list, the frequency of each task, and what it costs. Nothing starts until you approve it, and the price you approve is the price you pay.

03

Recurring service with photo reports

We hold the schedule set in your walkthrough. After eligible completed visits you get a CleanCheck report: that visit’s checklist status, customer-safe photos, and the team’s notes.

04

Billed after each visit

You are invoiced after each completed visit, not for a prepaid term. That is why there is no long-term lock-in here — we earn the contract every visit.

We do not publish a price table for accounting firms: the number comes out of the walkthrough and arrives in writing, usually within one business day. That same scope of work is the starting point for a janitorial contract.

Common questions

What gets asked before signing.

?

Will your crew move or handle client documents?

No. The walkthrough sets a desk rule your whole firm can rely on: cleared surfaces get cleaned, and anything with paper on it is left exactly as found — never moved, read, or stacked. Shred consoles are wiped on the outside and stay locked; destruction remains with your shredding vendor. Your Safeguards Rule plan and your clients' confidentiality stay yours to keep — our job is to make that easy.

?

Can you increase frequency during tax season?

Yes — that is the normal pattern for CPA firms: nightly service from January through April 15, later start times so crews arrive after your last staffer leaves, then a lighter cadence for the off-season, ramping again for the September and October extension deadlines. The seasonal schedule is set at the walkthrough and we answer every day, 24 hours, when it needs to move.

?

How is an accounting firm quoted?

By a short walkthrough — headcount, private offices versus open desks, conference rooms, restrooms, and your seasonal cadence set the price. You get the quote in writing, a COI within 2 business hours of asking, and no payment at booking.
